Statutory and Mandatory Training on iris for Legacy WSHT

Statutory and Mandatory training is being rolled out for Legacy WSHT soon.

As part of the process of merging all Trust systems, training will be migrated to the iris platform in a phased approach.

Below, we have outlined everything you need to know about transitioning to STAM training management on iris.

How Will the STAM on iris Rollout Work?

We are taking a phased approach to roll out STAM access to Legacy WSHT staff. The rollout will happen in three phases, spanning several months:

  • Phase 1 – October 31st, 2022
  • Phase 2 – January-February 2023

Phase 1 will include departments and teams that comprise exclusively staff members in administrative and clerical roles. This does not include staff in clinical departments that are admins.

Phase 2 will include all remaining departments.

You will receive advance notice when your department is participating in one of the rollout phases.

How Can I Prepare?

Between now and when your department will be asked to migrate to iris for STAM training, there are a few actions you can take to prepare:

  • Ensure your training is up-to-date. This will help ensure we have the most accurate records when we add your training records to iris.
  • Create an iris account. This will allow you to develop some familiarisation with the platform.
  • Relay this information to other members of your department. This will help get the word out and you can help each other prepare.

How Do I Make an Account on iris?

The iris platform is a self-service learning management system. Creating an account begins with a request that needs to be approved before you can gain access.

To request an account, you need to go to the iris page through one of the following avenues:

Once you are on the iris login page, you need to select the Request an Account button, then follow the instructions. Be sure to use your NHS email if you are requesting an account prior to your department’s rollout date so we can verify you are a member of staff.

Account approvals are a manual action. Relevant approvers aim to approve accounts within 24-48 hours. Please do not submit multiple requests.

How Will I Know When I Need to Renew My Training?

The iris platform has several systems in place to help you keep track of your STAM training.

Your dashboard gives you a quick overview of your compliance status with your STAM training. You can get a more detailed view by selecting the My Learning tab on the top menu.

We have also set up a video guide that shows you where you can view your STAM training requirements. You can view it by clicking here.

The system will also send reminder emails to your registered email address. These emails will also contain links that will take you directly to your training.

How Can Managers Check Their Team’s Compliance on iris?

The platform allows us to provide several ways to give you access to compliance data.

For cost centre managers, we will be providing access to the My Team tab which allows for quick access to compliance numbers and information at any time. You can view how it works by clicking on this link.

If you are a cost centre manager, we would appreciate it if you reached out to us to identify yourself and which cost centre you manage. Please email us at uhsussex.tel@nhs.net. This will help ensure we have accurate records on iris.

We can also give access to department compliance figures through our Department Admin role to non-manager staff. This needs to be authorised by a cost centre manager using this form.

When Will My Training Records be Migrated to iris?

Our aim is to migrate training data for each member of staff from October 31st. Once we identify that your account has been successfully created and approved, we will passport your training records as soon as possible.

Please be aware that this is a manual procedure and we will be working with a large volume of data. If your training has not been migrated within one week, please contact us at uhsussex.tel@nhs.net.

How Can I Get Help?

There are various help pages and contacts set up to support you with your training and using iris.
